MORNING SETUP FOR A GRADUATION EVENT AT POLYU

To me, SETUP is one of the most stressful moment for an event. There are always unexpected situations, like incorrect size items, broken props, wrong artwork output and more. Generally, we have very limited time to fix these problems.

From my video, it is semi-outdoor event for PolyU’s graduates. Luckily, we did a great job. The most difficult thing is the hollow frames on one of the backdrop. We have to make sure the backdrop vinyl, the size of hollow and the layered frames are matched with each others.

After 4 hours setup, a sense of accomplishment appeared in my heart. It was very happy to hear the compliment from clients and PolyU’s graduates.

The Worst Experience in My Event Life

Long working hours? Unhelpful vendors? Wrong name on certificates? Here is a sharing on the worst experience in my event life. To me, all these above are just a piece of cake. Let’s explore my winding road in the event industry.

POWER CUT. In two week times, I had experienced a power cut in two events. As a panel control operator, I was totally freaked out. All amplifiers, lights and projections were gone. We only had 50 minutes to fix it. We had to utilize this limited time to find out the source of electricity leakage. My crew tested all plug-ins and sockets for every single appliance immediately.

Suddenly, the confetti cannons were shot in the dark due to testing. This was a double burden.  😯 We had to separated into two groups, one crew kept doing testing and the other one needed to picked up those shinny, tiny confetti by hand. Luckily, we fixed all these problems like 5 minutes before the show.

NO CONTINGENCY PLAN. In my previous post, I introduced Green Summer Festival at Central Harborfront and I was so looking forward to holding my event – ARTiCULTURE there. Sadly, I decided to cancel the event on 29 September due to Occupy Central and security issue.

This was the worst feeling I have never felt before. After putting so much effort to create my own event and line-up with so many supporters, it turned to nothing. At that moment, I had no time for disappointment. As there was no plan B, I needed to announce the decision and extend my apology to 26 supporting groups and supporters as soon as I can. Besides, I had to cancel all logistics arrangement and vendors’ production. Last but not least, an appropriate announcement to the public.

To me, “the worst experience” is a good thing. It allows me to develop a better emotion quotient and learn how to stand up from the failure.

Event Life, Event Plan

A successful event is not only about creativity. A well-organized plan is another important elements. So, how to plan? The above infographic is easy and simple enough to tell.

First, we have to choose a suitable place and cuisine type. It usually takes the highest ratio of a budget.

Second, what kind of hardware should we have? Production like backdrop, signage, photo-corner etc. needs to apply to match the event theme. Additionally, technical equipment (audio, lighting & video system) is a supplement to make an event become more professional. All these items help creating a better atmosphere for an event.

Do we need more supplement?
Do we need more supplement, like lighting effect or video projection?

Third, how can we make the event more interesting and joyful? Different kind of entertainments, performances, or even lucky draw can bring participants happiness and a unforgettable experience.

Celebrity sometimes really works! Like inviting Moses Chan to teach participant making coffee.
An impressive entertainment can bring happiness to participant. Like Moses Chan teaches our participants to make coffee.

Last but not least, forming an energetic team is critical. An excellent team can ensure event running smoothly and sticking on schedule.

Event is a stressful thing, an energetic team can keep everyone positive and proactive in a high morale.

Update of the Industry – Partyline by Ming Pao Weekly

A professional event practitioner should keep update with the trend and input the ideas into clients’ events, however, we normally are too busy to do research on it.

Partyline is a really good source provided by Ming Pao Weekly. In this website, it has posted a lot of brand openings or launch parties in Hong Kong. We can easily absorb the information about the list of  popular celebrities, the most eye-catching entertainments and more ideas of kick off ceremony.

Keep an eye on Partyline, probably it can stimulate our creativity and think something new for clients’ event.

Look Back of Free Space Fest 2013

West Kowloon Waterfront Promenade, a super spacious event space for public. Last year, the Western Kowloon District Authority organized Free Space Fest in Dec. They did a really good job on linking local Arts, Music & Culture. This was my first time to experience so  many new things in one event. Parkour Performance, Interactive Art, Music on the Lawn and more, all these programs and setup were attractive and inspiring.

Only Have a Tame Budget for an Event?

This is a very useful article for all event people. As our clients always give us a limited budget with a pretty high expectation.

One of the tips, “Less Talking, More Watching”, the writer Cassie Brown encouraged to produce video for an event rather inviting speaker to give a sharing. It will be more impressive for guests and the cost is relatively low. In my coming events, I will adapt this suggestion and try to promote it to my client.

Green Summer Festival – Planting, Picnic, Practice in Central Harborfront

Green Summer Festival is a three-month event started in August 2014 at Central Harborfront Event Space. In this spacious venue, we can experience different kind of outdoor activities, from WHEAT PLANTING, PICNIC to HANDICRAFTS PRACTICE.

Guess what? I am so lucky to be part of it and host ARTiCULTURE on 1 October for Green Summer Festival. ARTiCULTURE aims at promoting local Art & Culture. There are band shows and dancings on the stage, and more than 8 workshops off stage for the public to participate for free.
